Terms and Conditions
By purchasing a tour or service from The Japan Tour Company, you agree to the following terms and conditions. Please read them carefully before booking.
Payment & Deposits
A non-refundable deposit of 10% of the total tour price is required to secure your booking. The remaining balance (final payment) is due no later than 90 days before the scheduled departure date. If booking is made within 90 days of departure, full payment is required at the time of booking.
All payments are processed securely through Stripe and are charged in US Dollars (USD).
Cancellation Policy
Cancellations must be made in writing via email to [email protected]. The following cancellation penalties apply based on when written notice is received:
- More than 60 days before departure: Full refund minus the 10% non-refundable deposit
- 30 to 60 days before departure: 50% of the total tour price is forfeited
- 10 to 30 days before departure: 75% of the total tour price is forfeited
- Less than 10 days before departure: 100% of the total tour price is forfeited (no refund)
- Within 14 days of purchase (and more than 60 days before departure): Full refund including deposit
Changes & Modifications
Changes to your booking (such as date changes, name changes, or itinerary modifications) are subject to a fee of $50 per person per change, plus any difference in tour cost. Changes are subject to availability and cannot be guaranteed.
Luggage
Please be aware that the Shinkansen (bullet train) has a luggage size limit of 160cm total dimensions (length + width + height). Luggage exceeding this limit must be reserved in advance for oversized luggage areas. We recommend traveling with luggage that fits within these dimensions. Luggage forwarding services (takkyubin) are available throughout Japan as an alternative.
Travel Insurance
Travel insurance is required for all tour participants. Your policy must include a minimum of $200,000 in Emergency Medical Evacuation coverage. We strongly recommend comprehensive travel insurance that also covers trip cancellation, trip interruption, medical expenses, baggage loss, and travel delays. Proof of insurance may be requested prior to departure.
Visas & Entry Requirements
It is the responsibility of each traveler to ensure they have a valid passport (with at least 6 months validity from the date of return) and any required visas for entry into Japan. The Japan Tour Company is not responsible for denied entry due to insufficient documentation. Please check with the Japanese embassy or consulate in your country for current visa requirements.
Health & Fitness
Our tours involve moderate walking (often 10-15 km per day) and navigating stairs, train stations, and uneven terrain. Participants should be in reasonable physical health. Please inform us of any medical conditions, mobility issues, or dietary requirements at the time of booking so we can make appropriate arrangements.
Limitation of Liability
The Japan Tour Company acts as an intermediary between travelers and various service providers (hotels, transportation companies, attraction operators, etc.). We are not liable for any injury, damage, loss, accident, delay, or irregularity that may occur during your trip due to the actions or omissions of third-party providers, weather, natural disasters, political instability, or other circumstances beyond our control.
